Olympia Aesthetics & Wellness (“we,” “us,” “our”) is a medical spa and wellness practice operated by Morris Medical LLC in Palm Harbor, Florida. This policy explains what information we collect through our website and in the course of providing care, how we use it, and the choices you have. We keep it in plain language on purpose. If anything is unclear, call or email us and a real person will answer.
The short version
- We collect the information you give us to book, communicate, and provide care.
- Your medical information is protected under HIPAA and lives in our secure electronic medical record system, not on this website.
- We never sell your personal information.
- You can opt out of marketing messages at any time.
Information we collect
Information you give us. When you request a consultation, book an appointment, fill out a form, take one of our treatment quizzes, or contact us by phone, text, or email, we collect what you provide: typically your name, phone number, email, and the services you are interested in.
Health information. Medical histories, intake forms, photographs, treatment records, and anything else related to your care are collected and stored in our secure, HIPAA-compliant electronic medical record and practice management system. Protected health information (PHI) is handled in accordance with HIPAA and our Notice of Privacy Practices, which is provided to you as a patient. Please do not submit detailed medical information through general website contact forms; we will collect it properly during your intake and consultation.
Payment information. Payments are processed by our payment and practice management providers. We do not store full card numbers on our website or servers.
Information collected automatically. Like most websites, we use cookies and similar technologies to understand how the site is used and to make our advertising more relevant. This includes:
- Analytics tools (Google Analytics, Microsoft Clarity) that collect information such as pages visited, approximate location, device type, and how you interact with pages.
- Advertising tools (Meta/Facebook pixel and server-side events, Google Ads tracking) that help us measure our ads and reach people who may be interested in our services.
These tools collect information such as IP address, browser type, and browsing behavior on our site. They do not have access to your medical records.
How we use your information
- To schedule and manage appointments, and to communicate with you about your care.
- To send appointment confirmations and reminders by text or email.
- To respond to your questions and consultation requests.
- To send offers, updates, and educational content, only where permitted and always with the ability to opt out.
- To measure and improve our website, services, and advertising.
- To meet our legal, regulatory, and record-keeping obligations as a medical practice.
Text messaging
If you provide your mobile number, we may text you about appointments, follow-ups, and, with your consent, occasional offers. Message frequency varies and message or data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help. Consent to receive texts is not a condition of receiving care.
How we share information
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We share information only with:
- Service providers who help us operate: our electronic medical record and practice management system, our patient communication and scheduling tools, payment processors, website hosting, and analytics and advertising platforms as described above. These providers are bound by contracts, and where PHI is involved, by business associate agreements as required by HIPAA.
- Legal requirements: when required by law, regulation, subpoena, or to protect the safety and rights of our patients, staff, or others.
- Business transfers: if our practice is ever sold or reorganized, patient records would transfer as permitted by law.
Your choices
- Marketing emails: use the unsubscribe link in any email.
- Text messages: reply STOP.
- Cookies and ads: you can control cookies through your browser settings. You can also manage ad preferences directly with Meta and Google, or install the Google Analytics opt-out tool.
- Access, correction, and deletion: you may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to medical record retention laws that require us to keep patient records for set periods. Florida residents and all other visitors can make these requests by emailing olympia@olympiaaesthetics.com or calling (727) 274-1972. We will verify your identity before acting on a request.
Note that medical records are governed by HIPAA and Florida medical record laws, which give you separate rights to access and amend your records. Ask us and we will walk you through it.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections (HTTPS) on our website and access controls on our systems. Medical information is stored in our HIPAA-compliant record system rather than on this website. No method of transmission or storage is completely secure, but we take this seriously and review our practices regularly.
Data retention
We keep personal information only as long as needed for the purposes above. Patient medical records are retained as required by Florida law and professional regulations. Marketing data is kept until you opt out or ask us to delete it.
Children
Our website and services are intended for adults. We do not knowingly collect personal information from children under 13 through the website. Aesthetic and wellness services are provided to minors only where clinically appropriate and with parental consent.
Photographs, reviews, and testimonials
Before-and-after photographs and testimonials are used only with written patient consent. If you have given consent and change your mind, contact us and we will remove the material from our website and future marketing.
Links to other sites
Our site links to third-party services such as our online booking system and social media pages. Those services have their own privacy policies, and this policy does not cover them.
Changes to this policy
We may update this policy from time to time. The effective date at the top will always reflect the current version. Material changes will be posted on this page.
