Appointment & Cancellation Policy

Last updated: July 26, 2026

We keep this simple. When you book, that time is held for you and nobody else can take it. Late cancellations leave a gap we usually can’t fill, and they keep another patient from being seen. Here’s how we handle it.

Cancelling or rescheduling

Please give us at least 24 hours’ notice if you need to cancel or move your appointment. Call or text (727) 274-1972, and if it’s after hours just leave a message or send a text. We’d always rather hear from you early than have you not show up.

Cancel or reschedule with at least 24 hours’ notice and there’s no charge. We’ll get you back on the schedule at a time that works. Cancel with less notice, or miss the appointment entirely, and a fee may apply. Any fee that applies to your appointment type is confirmed with you when you book, so it’s never a surprise.

Deposits

Some appointments are booked with a deposit that goes toward the cost of your treatment. If a deposit is required for what you’re booking, we tell you the amount up front. Cancel with proper notice and your deposit stays on your account for your rescheduled visit.

Running late

Life happens, and traffic on US-19 happens more. Let us know if you’re running behind and we’ll do what we can. If you arrive late enough that we can’t complete your treatment safely and unhurried, we may need to shorten it or move you to another day so the patients after you aren’t pushed back.

Refunds

Completed treatments aren’t refundable. Aesthetic and wellness results vary between people, and a treatment that was performed correctly isn’t refunded because of how it settled. What we will always do is bring you back in, look at it together, and talk through options. Most concerns come down to timing or dosing, and both are fixable.

For packages, unused sessions can be discussed with us directly. For skincare products, unopened items can be returned within 14 days. Once a product has been opened we can’t take it back, for the same reasons any medical office can’t.

Gift cards and memberships

Gift cards don’t expire and aren’t redeemable for cash except where Florida law requires it. If you’re on a membership, the terms for pausing or cancelling are in your membership agreement, and you can ask us for a copy any time.

Questions

Call or text (727) 274-1972, or email olympia@olympiaaesthetics.com. If something came up and you’re worried about a fee, talk to us. We’re reasonable people.
